Room Hire Administrator

This Not-For-Profit organisation is looking to appoint a Room Hire Administrator to maintain an efficient room hire booking system for people who are hiring rooms and running activities at Caerphilly Miners Centre for the Community.

As part of this role you would deal with room booking enquiries, check availability of rooms and equipment, check risk assessment and covid compliance, invoice and secure payments, and ensure other members of the team are informed of the booking.   


Our roles are flexible and seek to fit around you. Time commitments may vary but we estimate this role would take around 8 hours a week (more during termtimes and less in school holidays). The post will suit an applicant who can work on their own initiative and has the ability to set their own work.   


Reporting to the Facilities Officer, you will take responsibility for performing a variety of administrative tasks including:  


  • Dealing with requests for room hire and showing people around 

  • Checking on availability of stewards, equipment, furniture 

  • Agreeing room hire terms and conditions  

  • Invoicing for room hire and catering events  

  • Updating forward room diary and weekly schedules  

  • Ensuring that admin files are kept up to date and the team is informed.   


We’re looking for someone who  


  • is well organised and experienced in administrative work

  • is a good communicator, friendly and approachable   

  • is helpful, collaborative and a good team player 

  • is self-motivated and able to work independently and to deadlines   

  • is computer literate, with confident use of MSOffice and online booking systems  

  • is honest and trustworthy. 

  • has a passion for engaging and supporting the local community 

  • has a working knowledge of health and safety, covid compliance and safeguarding 


It is an advantage to have experience in the non-profit sector so applications will be particularly welcome from those who have volunteered or worked in a charity   


We have a bilingual policy, so it will be an advantage to be able to speak Welsh. 


You must be eligible to work in the UK. 


Remuneration: £10.00 per hour
